What type of personal information do we hold?

We currently collect and process the following information:

How we get the information and why we have it?

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have directly contacted us through our webpage, by email or by phone to request or discuss one of our services.
  • We have directly contacted you to provide services to us.

We also receive personal information indirectly, in the following scenarios:

  • Your company may have provided your details as the nominated point of contact for support we are receiving from them or providing to them.

Our website also collect information about your usage of our site that remains anonymous to us. Items such as your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. We use this data to improve our website functionality.


Under the UK Data Protection Act 2018, the lawful bases we rely on for processing this information are:

(a) We have a contractual obligation – where we are providing or receiving services that require the personal details you have provided.

(b) We have a legal obligation – for business accounting purposes such as issuing or payment of invoices, or in the assertion or protection of legal rights.

(c) We have a legitimate interest. – Where you have expressed an interest, but not actually received any of our services, or for security purposes.


What we do with the information we have?

We use the information that you have given us in order to supply you the services you have requested, to invoice and receive payment for our services, and for advertising any additional services we may be able to provide.  


We may need to share your information with other businesses that are supporting your organisation.  We do not share information with any external parties without your knowledge.


How we store your information?

Your information is securely stored on encrypted systems and we are certified under the UK Government backed Cyber Essentials scheme. We do not enter personal details onto any cloud provided services.


International data transfers?

All your personal data remains on our systems within the UK. We do not place your data on servers outside the UK.

How long will we keep your data?  

We may retain personal contact details for up to 7 years if you have received services from us.  Where we have collected personal details as part of an enquiry into our services, these will be deleted after 2 years if there is no further contact.  All information is securely removed from our systems.


Your data protection rights

Under data protection law, you have the following rights including:


Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.


Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.


Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.


Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.


Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay a charge for exercising your rights. You are free to contact us at anytime to for any of the above purposes. If you make a request, we have one month to respond to you, but we may need to extend this if your request is complicated.
